Privacy Policy
SwimIQ is the AI co-pilot for competitive swim coaches, operated by Arman Sanei in Toronto, Ontario, Canada. This Privacy Policy explains what personal information we collect, how we use it, who we share it with, and what choices you have. It covers both our web app at app.swimiq.ca and our iOS app.
We follow the principles set out in Canada's Personal Information Protection and Electronic Documents Act (PIPEDA). If you are in the European Economic Area, the United Kingdom, Switzerland, or a US state with a comprehensive privacy law, additional rights apply — see section 9.
Summary
- We collect the minimum needed to run the Service: account info, the workouts you create, voice/photo inputs you provide, and billing status.
- We do not sell your data. We do not use your content to train third-party AI models.
- Your workouts and coach knowledge base stay yours. You can export or delete them at any time.
- We never see your card number.

1. Who we are
SwimIQ is operated by Arman Sanei, based in Toronto, Ontario, Canada. Contact: info@swimiq.ca.
2. What we collect
When you create an account
- name, email address, password (stored as a salted hash by our authentication provider)
- plan tier and billing status
When you use the app
- workouts you create, voice transcripts, and photo uploads
- coach knowledge base entries you upload
- club and team membership
- usage metadata (e.g. number of analyses run) to enforce plan limits and improve the product
- basic device and request data (device model, OS version, IP address) to operate and secure the Service
When you pay on the web
- payment information (card number, billing address) is collected and stored by our payment processor — we never see or store your full card number.
When you pay through the iOS app
- purchases are processed by Apple through In-App Purchase. Apple shares only the purchase status and a receipt identifier with us — not your payment method or full Apple ID details.
- a subscription-management service reconciles your subscription status across devices.
3. Device permissions (iOS)
On iOS, SwimIQ requests the following device permissions. You can grant or revoke any of them at any time from iOS Settings → SwimIQ.
- Microphone & Speech Recognition — to record and transcribe voice workouts when you tap the mic button. Recording does not start until you initiate it.
- Camera — to capture a photo of a handwritten workout when you tap the camera button.
- Photo Library — to let you pick an existing photo of a workout.
We do not use geolocation, contacts, health data, or any other device permission.
4. How we use it
- provide and operate the Service (process workouts, run AI analyses, generate PDFs)
- handle billing and tax compliance
- send essential service emails (account confirmation, password resets, billing receipts, subscription notices)
- detect abuse and protect the Service
- improve the product (aggregated, non-identifying usage patterns)
We do not sell your personal data. We do not use your content to train third-party AI models.
5. Who we share it with
We use a small number of service providers ("processors") who handle your data on our behalf, under their own privacy and security commitments. By category:
- Authentication and database hosting — to store your account and content
- Edge infrastructure and web hosting — to deliver the app reliably
- Payment processors — our web payment provider for web subscriptions, and Apple for iOS In-App Purchases
- Subscription management — to reconcile iOS subscription status across devices
- Transactional email delivery — password resets and receipts
- AI model providers — to parse, transcribe, and analyze workouts. Our agreements with these providers state that your inputs are not used to train their models.
We do not share your data with anyone else except (a) when required by law, (b) to enforce our Terms, or (c) to protect the rights, property, or safety of users or the public.

If SwimIQ is ever involved in a merger, acquisition, or sale of assets, your information may be transferred to the successor entity subject to this policy.
6. How long we keep it
- account data: until you delete your account
- workouts and coach knowledge base: until you delete them or delete your account
- billing records: as required by Canadian tax law (typically 6 years)
- payment providers retain their own payment records under their retention policies
After deletion, residual copies may persist briefly in backups until the backup cycle rotates them out.
7. Your rights
You can:
- access and export your workouts at any time from inside the app
- update your profile from Settings
- delete your account permanently from Settings → Delete My Account — this immediately cancels any active web subscription, ends your access to the Service, and permanently erases your profile, workouts, knowledge base, club, and all other content
- request a copy of your data, correction of inaccuracies, or deletion by emailing info@swimiq.ca — we will respond within 30 days
iOS subscriptions must be cancelled through iOS Settings → Apple ID → Subscriptions — Apple does not allow us to cancel them on your behalf, even when your SwimIQ account is being deleted. If you delete your SwimIQ account while an Apple subscription is active, Apple will continue charging your Apple ID until you cancel it yourself in iPhone Settings. To avoid this, cancel your Apple subscription first, then delete your account.
8. Security
- connections are encrypted with TLS in transit
- data at rest is encrypted by our database provider
- access to production data is limited to the founder
- we never log raw passwords or full card numbers
No system is perfectly secure. If we ever experience a data breach affecting your information, we will notify you in accordance with PIPEDA breach-notification requirements.
9. Regional rights (EU, UK, Switzerland, US states)
If you are in the European Economic Area, the United Kingdom, or Switzerland, you have rights under the GDPR, UK GDPR, or FADP, including access, rectification, erasure, restriction, portability, and objection to processing. Our legal basis for processing is usually contract (to provide the Service you signed up for) or, where relevant, your consent — which you can withdraw at any time. You may also complain to your national supervisory authority.
If you are a resident of California, Colorado, Connecticut, Virginia, or another US state with a comprehensive privacy law, you have the right to know, access, correct, delete, and receive a portable copy of your personal information, and the right not to be discriminated against for exercising these rights. We do not sell personal information, do not use it for targeted advertising, and do not process sensitive personal information as defined under those laws.

10. Cookies and local storage
We use the minimum necessary: an authentication session token (so you stay logged in) and a few app preferences (theme, last-used reference). We do not use third-party advertising cookies and we do not run third-party analytics that track you across other sites.
11. Children
SwimIQ is intended for adult coaches. We do not knowingly collect personal information from anyone under 18. If you believe a minor has created an account, contact us and we will delete it.
12. Changes
We may update this policy from time to time. Material changes will be communicated by email or in-app notice. The "Last updated" date at the top reflects the most recent revision.
